Manage a product's downloads

Audience: operators · Scope: the Materials section on a product, and the public Downloads page · Last reviewed: 2026-07-20

What this does — Decides which files a product offers on the public Resources & Downloads page. Some are files you upload; others the site builds for you (the spec sheet, the dimensional diagrams, the performance-data sheet).

Before you start

Add a download

  1. In the product's Materials section, add a material.

  2. Choose the type — this is the most important choice, because it decides where the file comes from:

    TypeYou upload a file?
Full / Short SpecsheetNo — the site uses the product's spec sheet
Dimensional DiagramsNo — built from the product's diagrams
Performance DataNo — built from the product's performance data
IES/LDTNo — built from the product's candela curves
BrochuresNo — uses the published brochures linked to this product
Product ImagesNo — uses the product gallery
Regular files · BIM files · Installation GuidesYes
Global FileNo — picks one of the shared files uploaded once for all products
  3. For an upload type, attach the file(s).

  4. Set the ordering, tick published, and Save.

What happens next

  • The file appears in that product's row on the public Resources & Downloads page.
  • Visitors can download one file, or use All to get everything in that row as a zip.

Good to know

  • One download of each type per product. If you add a second material of a type the product already has, only one of them will ever show — and which one is unpredictable. Use a different type, or combine the files into a single material.
  • "IES/LDT" does not contain IES or LDT files. Despite the name, that download is a PDF of the candela curve images. If a specifier asks for real .ies / .ldt photometric files, attach them as Regular files or BIM files instead.
  • Two types never get their own column on the Downloads page — Regular files and Short Specsheet. They still work as downloads elsewhere, but don't expect a column for them.
  • "Declare" isn't a type. A Declare label is just a Regular file or Global File with an appropriate title. The same goes for any other document not in the list above.
  • The "All" button only collects the columns currently shown. If a visitor has filtered columns off, their zip is smaller — that's expected behaviour, not a fault.
  • Use a Global File for anything identical across many products (a general warranty or policy document), so you upload it once — see Manage shared files.
  • The downloaded file is named after the product and the material. A visitor saving a download gets <Product title> - <Material title>, so the material's title is what they see on disk. Vague titles like "File 2" end up on customers' desktops.

Don't rely on "login required" to protect anything confidential. The switch exists, but it does not reliably stop someone reaching the file. Treat every download here as public. If a document genuinely must be restricted, talk to your Beta-Calco contact rather than using this flag.

Troubleshooting

  • A download doesn't appear for a product. Check the material is published, and that the product itself is published, not discontinued, and visible to that visitor's customer group.
  • The spec-sheet download is out of date. The download uses the product's saved spec sheet — refresh it, see Design the spec sheet.
  • You added a second brochure/file of the same type and it didn't show. See the one-per-type rule above.
  • A customer says a file is missing that another customer can see. Downloads follow the product, and products are filtered by customer group — check the product's group assignments.

Screens and labels can differ slightly between environments — if a label doesn't match what you see, check with your Beta-Calco contact.
