Read and act on cold-quote prompts
Audience: operators & sales · Scope: the cold-quote report and reminders · Last reviewed: 2026-07-12
What this does — A scheduled job finds quotes/deals that have gone cold (no movement for a while), emails the reps about them, and writes a Cold Quotes report to a Google Sheet. This article is how to read and use that.
Before you start
- Nothing to run — the cold-quote job is scheduled and sends on its own.
- To see which sheet the report goes to: Custom Settings → Cold Quotes → Cold Quotes Report Sheet.
Using it
- Reps: watch for the cold-quote reminder email, and work the deals it lists — follow up with the customer, or update the deal's status so it drops off the cold list.
- Admins: the Cold Quotes report sheet is the full current list. Open it to see every cold quote in one place.
What happens next
- A quote that gets moving again (its deal is updated, or the customer responds and the status changes) stops being "cold" and drops off the next report.
Good to know
- The report refreshes on a schedule, not instantly — a deal you just updated may still appear until the next run.
- Which sheet it uses is the Cold Quotes Report Sheet setting; the reminder emails go to the reps automatically.
- If the report looks empty or stale, the scheduled job may need attention — tell your Beta-Calco contact.
Screens and labels can differ slightly between environments — if a label doesn't match what you see, check with your Beta-Calco contact.
